Receptionist & Administrative Support

 

  • Location- Council Offices, 77 High Street, Wivenhoe, Essex CO7 9AB
  • Department- Reception
  • Hours- 17 hours per week
  • Salary- NJC SCP6 (Pro rata for part-time)
  • Benefits- 23 days paid annual leave (increasing to 27 days after 5 years) exclusive of bank holidays (pro rata for part time).

Main purpose of the role:

 

  1. To manage the Council Offices reception desk from 9.30am to 12.30pm, on days to be agreed.
  2. To provide administrative support to the Administrator.

 

Key Tasks:

  1. Carrying out varied clerical tasks in an efficient and effective manner as part of the administrative team supporting the activities of the Town Council.
  2. Acting as first contact for the Council, dealing with and referring on a range of enquiries face to face, via email, telephone and website.
  3. Liaising with Councillors, staff, volunteers, the general public and external stakeholders.
  4. Managing Town Council facility bookings such as the William Loveless Hall, mini bus, King George V Playing Field, allotments and cemetery.
  5. Issuing invoices, agreements and rent demands.
  6. Processing paperwork relating to burials, ashes interments and burial grants.
  7. Civic Service and Council event administration.
  8. Updating diary and news items to the Council website.
  9. Maintaining office supplies and recycling supplies.
  10. Note taking and attending some evening meetings and producing minutes for the Town Clerk to approve.
  11. Use of MS Office Suite and Rialtis accounting system.
  12. Ability to work flexibly and carry out other functions when required and within the capabilities of the staff concerned and Town Council functions.
  13. To ensure deadlines are met and to assist other staff and ensure the administration functions of the Council are carried out efficiently and effectively.
  14. To work jointly under the supervision of the senior administration staff and the Town Clerk/RFO.
  15. Qualities needed for the role – personable, able to deal confidently with the general public, managing expectations and dealing with difficult situations firmly but sensitively as necessary, ability to work in a small team environment and to maintain communication with other members of staff.
  16. To maintain confidentiality of information managed by the Town Council.
  17. Willing to attend training where required.
  18. Good level of numeracy, literacy, communication and people skills.

Full training and an induction plan will be provided. Opportunities for further development are available such as training courses with the EALC and SLCC including the Financial Introduction to Local Administration qualification.

No line management duties.
